Welcome to Small Business OS! This guide takes about 5 minutes to read and will help you set everything up for your shop.

Step 1 — Duplicate & clean up
- Make sure you duplicated this template into your own workspace (top-right Duplicate button).
- Explore the sample data first so you can see how everything connects.
- When you are ready, delete the sample rows in each database and start adding your own.
- Click the Your Shop card on the dashboard and add your shop name, banner, story and link.
Step 2 — Add your products
- Open Products & Inventory and add each item you sell with its Price, Cost and Stock In (how many units you have made or bought in total).
- Profit and Margin % calculate automatically.
- Stock Left counts down by itself. It is always Stock In minus Units Sold, and Units Sold adds up the Quantity of every order linked to that product. You never have to subtract stock by hand.
- Restocking? Add the new units to Stock In. Example: you had Stock In 48 and make 30 more → change it to 78.
- Set a Reorder Level — when Stock Left drops to that number, the item shows Restock and appears in the Low Stock view and on the dashboard.
- Upload a product photo to Photo to make the Shop Window gallery look beautiful.
Step 3 — Log orders
- Every new sale goes into Orders. Link the Customer and Products, then fill in Subtotal, Shipping Charged and Platform Fees.
- Always fill in Quantity — this is what reduces Stock Left automatically.
- Tip: log one order row per product. If one customer buys two different products, add two rows so each product's stock stays accurate.
- Link the order to this month's card in Metrics Month so it counts in Shop Metrics.
- Net Revenue is calculated for you.
- Drag cards across the Order Pipeline board as they move from New → Processing → Shipped → Delivered.
